Windows Server 2025 vs 2022 vs 2019: Which to Buy in 2026?

Setting up a server for your office — for Tally, file sharing, a website, or Remote Desktop for your staff? The first decision is the version, the second is the edition. Get these right and the server will serve you for 6–8 years. Here's the practical guide we give our business customers.

For a brand-new installation in 2026 we usually recommend Server 2025 or 2022. Choose 2022 if your ERP/accounting vendor hasn't confirmed 2025 support yet — ask them first.

Standard vs Datacenter vs Essentials

  • Essentials: small businesses only — up to 25 users / 50 devices, single processor with up to 10 cores. No CALs needed.
  • Standard: the normal choice. Licence covers the physical server plus 2 virtual machines. Users need CALs.
  • Datacenter: unlimited virtual machines plus Storage Spaces Direct, software-defined networking and shielded VMs. For heavily virtualised hosts.

Rule of thumb: one physical server running 1–2 workloads → Standard. A big host running 5+ VMs → Datacenter.

Don't forget CALs

Standard and Datacenter need Client Access Licences for users or devices connecting to the server, and Remote Desktop needs separate RDS CALs. This trips up a lot of small businesses — read RDS CAL explained.

Converting an Evaluation install to full Standard

Installed the free 180-day evaluation and now want to activate? You don't need to reinstall. Open Command Prompt as administrator and run DISM /online /Get-TargetEditions, then DISM /online /Set-Edition:ServerStandard /ProductKey:XXXXX-XXXXX-XXXXX-XXXXX-XXXXX /AcceptEula with your key, and restart. Is Windows Server 2025 stable enough for production?

Yes, it has been generally available since late 2024 and receives regular updates. Just confirm your line-of-business software supports it.

How many VMs can I run on Windows Server Standard?

Two virtual machines per fully licensed server. Datacenter allows unlimited VMs.

Can I use Windows Server as a normal desktop?

Technically yes, but it's not designed for it — use Windows 11 Pro for desktops.
